How to detect operational bottlenecks using data

Running operations means deciding constantly

Whoever runs operations makes decisions all day: what to prioritise, where to reinforce, which order is running late. The problem is that the information needed to decide is usually spread across the ERP, the CRM, production, logistics and Excel files, and bringing it together takes time nobody has.

The usual questions

  • Where do delays happen?
  • Are we meeting planned times?
  • Which area has the heaviest workload?
  • Which processes generate the most incidents?
  • Do we have enough capacity for the demand ahead?
  • What impact do operating costs have on the result?

What is worth measuring

A good operations dashboard usually includes delivery compliance, cycle times, incidents and their type, workload by area or team, productivity, operating costs and capacity versus demand. If you work in production, operational performance (OEE) is another common indicator.

The value is in crossing areas

Bottlenecks are almost never visible within a single area. They appear when data is cross-referenced:

  • Sales and operations: whether forecast demand fits within capacity without compromising quality or deadlines.
  • Operations and finance: where operations are efficient and where cost spikes.
  • Inventory and purchasing: whether there are enough resources to keep the flow going.
  • Projects and teams: where there are overloads, deviations or delays.

From seeing the problem to acting in time

With systems connected, alerts can be set for what cannot wait: delivery delays, critical incidents, a KPI that drifts, stock below the minimum or overload in a team. The right information reaches the right person while there is still time to react.

How we solve it at GY3 Solutions

We integrate the data from your systems, analyse it to identify bottlenecks and deviations, and automate reports and alerts. You can see the approach in Data & AI and in Automation and Software.
